At Sports Therapy One, appointment times are reserved specifically for each client. Late cancellations and missed appointments mean that reserved clinic time cannot always be offered to another client who may be waiting for treatment.

We therefore ask that you provide at least 24 hours’ notice if you need to cancel or reschedule an appointment.

Cancelling or Rescheduling an Appointment

If you need to cancel or change your appointment, please provide at least 24 hours’ notice.

Appointments cancelled or rescheduled with less than 24 hours’ notice may be charged at 100% of the booked appointment fee.

If there is no answer, please leave a message with your name and details of the appointment you wish to cancel or reschedule. The time your message is received will be taken into account when determining whether sufficient notice was provided.

Late Cancellations and Missed Appointments

A late cancellation is an appointment cancelled or rescheduled less than 24 hours before the scheduled appointment time.

A missed appointment (no-show) is when a client does not attend their appointment and has not provided notice that they will be unable to attend.

Late cancellations and missed appointments may be charged at 100% of the booked appointment fee.

Where a fee has been charged for a late cancellation or missed appointment, any outstanding balance must be settled before further treatment is provided.

Sports Therapy One may also require payment in advance before accepting future bookings where there have been previous late cancellations or missed appointments.

Appointments Booked Within 24 Hours

Appointments booked less than 24 hours before the scheduled appointment time are subject to the same cancellation policy. If you subsequently need to cancel or reschedule, please provide as much notice as possible. As the appointment time has been reserved specifically for you at short notice, a late cancellation or missed appointment may be charged at 100% of the booked appointment fee.

Late Arrival

If you arrive late for your appointment, the session may need to be shortened to avoid affecting subsequent appointments. The full booked appointment fee will still apply. Where there is insufficient time remaining to safely or appropriately provide the booked treatment, the appointment may not be able to proceed and the full appointment fee may still apply.

Exceptional Circumstances

We understand that circumstances outside your control can occasionally arise at short notice. Where appropriate, exceptional circumstances will be considered on an individual basis and any decision regarding cancellation or missed appointment fees will be at the discretion of Sports Therapy One.
